January 2007 - Automated Accounts-Payable Systems Cost 68% to 76% Less Than Manual Operations - Recent Aberdeen research (December 2006 - Accounts Payable: Strategies for Success) has discovered that electronic invoices cost between 68% - 76% less to process than paper-based invoices.

The research indicated that the average cost of manually processing a supplier invoice could drop from over US$22 to less than US$13 per invoice through automated processing.

iPOS eProcurement for Infor SunSystems incorporates automated supplier invoice processing as standard functionality. Inbound supplier invoices can be matched against outstanding purchase orders with exceptions being tracked for administrator review or rejection. With appropriate background controls iPOS can also accept invoices without purchase order references and direct these through an extensive approval workflow.

March 2006 – iPOS Connections released to market. iPOS Connections is an integration suite that enables data from other systems to be imported into iPOS at the appropriate point in the transaction life cycle. This helps achieve the business ideal of centralising all purchasing actions into a single source for maximum budget, approval and spend control.

For example, a company may use an asset management system to coordinate its portfolio of assets however best practice procurement requires all purchasing to be controlled through a single management system. Approved asset purchase and maintenance orders can be piped from the asset system to iPOS for PO generation, goods receipting and invoicing. Similarly the iPOS goods receipting stage may be piped back to the asset system for tracking and project purposes.

How to incorporate company specific help documents, policies, procedures etc for access by iPOS users.

When setting up the ledger interface, consider using iPOS specific journal types for your posting. For example, IHC and IHCR journal types could be allocated for hard commitment and hard commitment reversal postings. The journal types not only make it easy to work out which postings are for the accrual and which ones relate to the reversals, but they also make it easier to reconcile between iPOS and Infor SunSystems.
